CardamomNepal is a trading brand of Arun Valley Exports Pvt. Ltd., a company registered in Nepal with its export office in Lazimpat, Kathmandu, Bagmati Province. In this policy, “we”, “us”, and “our” refer to Arun Valley Exports Pvt. Ltd.

2. Information we collect

We only collect the information we need to respond to your enquiry and fulfil an order. This typically includes:

• Contact details you provide — your name, company, email address, phone or WhatsApp number, and country.
• Enquiry details — the product grade, quantity, Incoterm, destination port, and any sampling or private-label requirements you tell us about.
• Shipping and compliance information — the delivery address and importer details needed to prepare a phytosanitary certificate, certificate of origin, and invoice.
• Technical data — basic, non-identifying analytics about how our website is used (such as pages viewed and approximate region), collected to keep the site working and improve it.

3. How we use your information

We use the information you share only to:

• Reply to sample requests, quotes, and general enquiries.
• Prepare quotations, proforma invoices, and export documentation for orders you place.
• Arrange freight, customs clearance, and delivery of your shipment.
• Keep records required by Nepali export regulations and tax law.
• Send you order updates and, only if you have asked for them, occasional product or harvest updates.

4. Why we are allowed to use it

We process your information because it is necessary to take steps at your request before entering a contract and to perform that contract, to comply with our legal and regulatory obligations as an exporter, and — for optional updates — on the basis of your consent, which you can withdraw at any time.

5. Who we share it with

We do not sell your personal information, and we never share it for third-party advertising. We share it only with the parties needed to complete your order:

• Freight forwarders, airlines, and courier companies handling your shipment.
• Government bodies that issue export documentation, such as Nepal’s Department of Agriculture and the relevant chamber of commerce.
• Banks and payment providers, where a transaction requires it.
• Trusted service providers who help us run our business (for example email or website hosting), under confidentiality obligations.

6. International transfers

Because we export worldwide, your business information may be sent to parties in your own country — including your customs authority and freight agents — in order to clear and deliver your shipment. We share only what is necessary for that purpose.

7. How long we keep it

We keep enquiry records for as long as needed to serve you and for a reasonable period afterwards in case you return. Order and shipping records are kept for as long as Nepali tax and export law requires. When information is no longer needed, we delete or anonymise it.

8. Your rights

Subject to applicable law, you can ask us to give you a copy of the information we hold about you, correct anything that is wrong, delete it, or stop using it for optional updates. To exercise any of these rights, email export@cardamomnepal.com and we will respond promptly.

9. How we protect it

We use appropriate technical and organisational measures to protect your information against loss, misuse, and unauthorised access. Access to enquiry and order records is limited to the team members who need it to do their jobs.

10. Changes to this policy

We may update this policy from time to time. When we do, we will revise the “last updated” date at the top of this page. Significant changes will be highlighted here.
